Learn how to manage spam and keep unwanted emails out of your inbox. Protecting yourself from spam and phishing emails is an important part of email security.
How Spam Filtering Works
NorthwoodsMail automatically filters suspected spam into your Junk folder. You can help improve filtering by marking messages as spam or not spam.
Checking Your Spam Folder
- Log into webmail
- In the left sidebar, click Junk
- Review messages to make sure nothing important was filtered
If a Good Email Was Marked as Spam
- Open the message
- Click Not Spam or Not Junk
- The message will move to your Inbox
- Future emails from this sender should arrive normally
If Spam Reaches Your Inbox
- Select the spam message(s)
- Click Mark as Spam or Junk
- The message moves to your Junk folder
- Future emails from this sender will be filtered
Recognizing Phishing Emails
Phishing emails try to trick you into revealing passwords or personal information. Be suspicious of emails that:
- Ask you to “verify” your password or account information
- Claim your account will be closed unless you click a link
- Use urgent language (“Act now!” “Your account is suspended!”)
- Come from addresses that look similar but not identical to real companies (like “n0rthwoodsmail.com” instead of “northwoodsmail.com”)
- Contain spelling or grammar errors
- Have mismatched links (hover over links to see where they really go)
Important: NorthwoodsMail will never ask for your password via email. If you receive such a request, it’s a phishing attempt. Learn more in our Password Best Practices guide.
Creating Filter Rules
For persistent spam from specific senders:
- Go to Settings → Mail
- Look for Filters or Rules
- Create a new filter
- Set condition: “From contains [spammer email or domain]”
- Set action: “Move to Junk” or “Delete”
- Save the filter
Whitelist Important Senders
To make sure emails from important contacts never go to spam:
- Add them to your Contacts or Address Book
- Or create a filter: “From contains [their email]” → “Move to Inbox”
Best Practices
- Check your Junk folder weekly
- Empty your Junk folder monthly
- Never reply to spam (confirms your address is active)
- Don’t click links in suspicious emails
- Don’t download attachments from unknown senders
- Unsubscribe from legitimate newsletters you don’t want
- Use strong, unique passwords to prevent account compromise – see Password Best Practices
